What you will do as PA to Managing Director and Head of Marketing

We’re looking for a Personal Assistant to work directly with the Managing Director whose portfolio responsibilities include Marketing, Communications, Events and Insights as well as the Head of Marketing. In addition to general administrative duties, you’ll be responsible for comprehensive diary management, coordinating travel arrangements, organising meetings, and occasionally taking minutes. You’ll also provide support to the wider team as and when required.

You should have an interest in working for a fast moving and growing organisation, with the ability to build internal networks and knowledge to further support the needs of your portfolio. No two days are the same and therefore you will be required to be proactive with excellent attention to detail, being able to prioritise effectively and manage the needs of your portfolio effectively and proportionately. You will also cover periods of absence of other Personal Assistants and support the wider business needs on behalf of the Managing Directors and leadership team.

Key activities and responsibilities you will expect:

  • Organising and managing diary appointments
  • Managing incoming emails and handling requests, ensuring they are prioritised and escalated appropriately
  • Arranging travel and accommodation as required including checking in for upcoming flights
  • Booking and setting up meeting rooms, including refreshments as required
  • Taking minutes at meetings where required and following up on action points
  • Producing reports, documents, briefing papers, and presentations where required
  • Completing expenses
  • Managing and keeping on track of expenses for Head of Marketing and Managing Director
  • Handling all other administrative tasks and ad hoc requests as required

About you

Your Qualities:

  • You are enthusiastic and a quick learner
  • You are highly organised, with good time management
  • You are an excellent communicator both verbally and written
  • You will have the ability to co-ordinate and deliver multiple tasks
  • You are skilled in Microsoft Office (Excel, PowerPoint, Word)
  • You have strong attention to detail
  • You have the ability to effectively build relationships at all levels
